Inventory tracks what you hold, where it is, and what it is worth. Every change to stock is recorded as a movement, so you can always explain how a quantity got to where it is.

The core idea

Stock quantities are never edited directly. You cannot type a new number into a balance. Instead you record an operation — an adjustment, a transfer, a count, a sale — and the balance changes as a result. This means every quantity has a history. When a figure is wrong, you can see exactly which operation caused it and who did it.

The four core operations

Draft, then post

Every operation follows the same pattern:

Create it as a draft

Add your lines. No stock has moved. You can edit or delete freely.

Check it

Right items, right quantities, right location.

Post it

Stock movements are written and balances update. This is the moment it becomes real.

It is now permanent

A posted operation cannot be edited. If it is wrong, void it — which creates reversing movements and leaves both records visible.
Posting is the point of no return. A posted operation can be voided but never edited, and the void is itself a permanent record. Check drafts before posting.

Negative stock

By default Bumara blocks any operation that would take a balance below zero. If you try to sell or transfer more than you have, the operation is refused and tells you which item is short. This is usually right. A negative balance means your records have lost touch with reality, and carrying on makes it worse. An administrator can override the block where genuinely necessary — typically when goods have physically been received but not yet entered. Overrides require a reason and are recorded.

Locations

Stock is held at locations — a main store, a shop, a warehouse, a vehicle. Every quantity is per item and per location. Your first location becomes the default. Users can be assigned to specific locations, and their dashboards then show only the stock they are responsible for.

Units of measure

Bumara includes standard units — each, kilogram, litre, box and others. You can add your own, and define conversions between them, such as one box equals twelve each. Set the right unit on each item at the start. Changing it later, once movements exist against it, is disruptive. Products in Invoicing can link to inventory items by their code. When linked, selling the product moves the stock. Keep the codes consistent between the two, and the link works without further thought.

Low stock

Each item can carry a reorder level. When a balance falls to or below it, Bumara flags it as low stock and can notify you. Set reorder levels on the items that matter — the ones you cannot trade without. Setting them on everything produces noise you will start ignoring.
